Don't judge by the demo
Every AI demo looks magical on sample data. The real test is your own messy pipeline. Plan a short trial with real records before signing anything annual.
A two-week trial plan
Days 1–2: import a real slice of your data (a spreadsheet or a few hundred records from your current CRM). Note how much cleanup is needed.
Days 3–7: have two people use the AI daily — ask pipeline questions, draft follow-ups, summarize accounts. Log what was wrong or useless.
Days 8–14: set up one automation and one campaign. Check whether replies, statuses and owners update correctly without manual work.
Questions to ask every vendor
How is AI usage priced, and what happens when we run out?
Can we control which users and boards the AI can see?
Can we export all our data at any time?
Is pricing per seat, and is there an annual discount?
Hidden costs to check
AI add-ons priced separately from seats, minimum seat counts, and paid onboarding are the most common surprises. Add them up for your team size over a full year.
